JINIAA Youth Services Pty Ltd (ABN as registered) (“JINIAA”, “we”, “us”, “our”) is committed to protecting your privacy and handling your personal information lawfully, securely and transparently. This Privacy Policy explains what information we collect when you engage our services and make payments, how we use and store it, and the circumstances in which we may share it. It applies to our website (jiniaa.com.au) and to our payment processes, including card payments processed through our payment provider.
We comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), and where applicable the Privacy and Personal Information Protection Act 1998 (NSW) and the Health Records and Information Privacy Act 2002 (NSW).
1. What information we collect
We collect only the information necessary to provide our services and process payments. This includes:
- Contact and identity information shared during contract or service-agreement creation — such as your name, business name, postal and email address, and phone number.
- Transaction and billing information — invoice details, amounts, payment dates and payment references.
- Service information — details necessary to deliver and administer the services you have engaged us for.
- Website and technical information — limited data such as your browser type and pages visited, where you use our website.
We do not store credit card or debit card details. Card payments are processed securely by our payment provider through QuickBooks integrated with the ANZ payment gateway. Your full card number, expiry date and security code (CVV) are entered directly into the secure, PCI-DSS-compliant payment environment of these providers. JINIAA does not capture, view, record or retain your card numbers or CVV on our own systems. Only the customer information shared with us during contract creation is held securely by us.
2. How we use your information
We use your information only for the purposes for which it was collected, or for related purposes you would reasonably expect, including to:
- Provide, administer and deliver the services you have engaged us for;
- Create and manage service agreements and contracts;
- Issue invoices and process and reconcile payments;
- Communicate with you about your account, services and transactions;
- Meet our legal, tax, accounting and regulatory obligations; and
- Maintain the security and integrity of our records and operations.
We do not use your information for marketing, research or any unrelated purpose without your consent or another lawful basis.
3. How we store and protect your information
- Customer information is stored in access-controlled, encrypted systems with role-based access and multi-factor authentication.
- Payment processing is handled by QuickBooks and the ANZ payment gateway within their secure, PCI-DSS-compliant environments — card data is not transmitted to or stored on JINIAA systems.
- Any paper records are kept in locked storage with restricted access.
- Staff must not store personal information on personal devices or personal cloud accounts; work devices are password-protected, encrypted and remotely wipeable.
- Financial records are retained for at least 7 years as required by law; other records are retained only as long as necessary for the purpose collected or as required by law, then securely disposed of.
4. Whether we share your information
We do not sell your personal information. We only disclose it where necessary and permitted by law, including:
- To our payment and accounting service providers (QuickBooks and the ANZ payment gateway) solely to process and reconcile your payments;
- To professional advisors such as accountants, auditors and legal advisors on a confidential basis;
- To government, regulatory or law-enforcement bodies where required or authorised by law; and
- With your consent, or where otherwise permitted under the Australian Privacy Principles.
5. Payment security and the ANZ / QuickBooks gateway
When you make a card payment, you are directed to a secure payment facility operated by QuickBooks integrated with the ANZ payment gateway. These providers are responsible for the secure capture and processing of your card data in accordance with the Payment Card Industry Data Security Standard (PCI-DSS). We receive only confirmation of payment and the transaction reference — not your card number or CVV.
6. Access, correction and complaints
You may request access to, or correction of, the personal information we hold about you. Requests should be made in writing to the Director and are actioned within a reasonable time, generally within 28 days. If you believe we have breached your privacy, you may lodge a complaint with us using the contact details below; if you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
7. Changes to this policy
We may update this Privacy Policy from time to time. The current version is always published on our website with the “Last updated” date shown above.
